The role of the Front Desk Assistant is for our Exterior Business Group Technical Center placed in Slovakia

 

MAIN ACTIVITIES:

Reception Desk Services

  • Register/Record/Welcome External visitors within the existing procedures
  • Contribute and/or Lead events organization : meeting rooms preparation, PPE preparation, catering organization, visitors welcoming, …
  • Ensure service to Technical Center Teams for taxi / local rental car / pool car bookings and consolidate tracking of these activities (schedule – record - reporting)
  • Support Technical Center Teams in business trip booking, when needed
  • Manage the company car services agenda
  • Support regular external services interventions on-site (maintenance, vending machines, etc.)
  • Administrate mails/parcel service for the Technical Center

Under supervision of SFM coordinator

  • Manage Inventory/Order/Stock for : Catering/Refreshments – Office Supplies – Visitor PPE’s
  • Contribute to SFM actions for maintenance, improvement of building/offices when required
  • Verify and secure cleanliness/tidiness of shared spaces in the building (first floor entrance/meeting rooms, forum, kitchen)

Administrative Support

Under supervision of Director Assistant/SFM coordinator and collaborating with Finances Dpt :

  • Consolidate monthly report for business trips cost.
  • Record invoices in financial systems for the SFM perimeter.
  • Support, when required, creation of Purchase orders for the departments.
  • Support any other administrative topics related to position asked by direct manager

Requirements:

  • fluent communication in English and Slovak
  • secondary grammar school education as minimum
  • very good communication and organization skills
  • pleasant and professional behavior
  • proactive approach
