Beyond administrative duties and complex calendar management, the Executive Assistant also filters and prioritizes incoming and outgoing visits or phone calls, and communicates on behalf of the executive they support. Other responsibilities include:
• Managing the executive’s calendar, travelling logistics, including scheduling appointments and prioritizing the most sensitive matters
• Providing administrative support such as drafting and editing emails, writing memos, and preparing communications/presentations on behalf of the executive
• Maintaining complete and accurate records
• Performing minor accounting tasks
• Organizing, planning, and coordinating various events with both internal and external stakeholders, including seminars and meetings (in-person or virtual), and ensuring appropriate logistics (transportation, travel, catering, venue, etc.)
• Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
The Executive Assistant may also be required to participate in meetings, take notes, and prepare minutes. Additionally, they may be responsible for other projects as they arise.
