Job Description

Within the General Services department of the site, you will be responsible for the administrative follow-up of orders (purchase requisition creation, SAP entry, invoicing, and reminders) and updating monitoring tables. You will also provide support in organizing events and coordinating with service providers. You will carry out general administrative tasks and participate in improving the department’s tools and processes.

Main responsibilities:

You will report to the Site Executive Assistant. Your main missions will be:

1. Administrative management of orders

You will ensure the administrative follow-up of orders: SAP entry, invoice verification, and reminders to ensure complete processing of files.

In this capacity, you will:

• Create and follow up on Purchase Requests (PR) in IT systems
• Request quotes from suppliers
• Update order and invoice tracking tables for the department
• Create and update site subcontracting orders, in collaboration with the buyer

2. Support to the Executive Assistant

You will support the Executive Assistant in organizing special events (Innovation Day, department meetings, forum activities, HSE events, etc.).

3. Monitoring and improvement of tools

You will update tracking files and tools, ensure data reliability, and suggest the implementation of new tools or processes to improve service efficiency.

You will also manage the stock of employee clothing and monitor site events.

 

Candidate profile:

• You are preparing a vocational diploma or a 2-year degree (Bac+2) in Office Administration / Business Support
• You have an intermediate level of English (B1/B2)
• You have good command of Microsoft 365 Office Pack, including intermediate-level Excel
• You are autonomous, curious, a team player, and comfortable working in an open-space environment 

 

Location: Sigmatech – Avenue du Bois des Vergnes, 01150 Sainte-Julie (40 km from Lyon, carpooling available)
